Cancellation & Refund Policy
How DocVoc subscriptions renew, how to cancel, when we refund a charge, and what happens if a payment fails. This policy is part of our Terms of Service.
The short version
- Cancel any time in Plan & billing. Renewal stops, and you keep access until the end of the period you paid for.
- There is no proration: we do not refund unused days, hours or seats.
- If we charge you twice or by mistake, we refund it to the original payment method within 7 working days.
- If a payment fails, nothing is deleted. Processing stops at the end of the paid period until payment succeeds.
1. How billing works
DocVoc plans are billed per clinician, monthly or yearly, in advance, plus 18% GST. Payments are handled by Razorpay, by card or by UPI AutoPay or e-mandate. Your subscription renews automatically at the end of each period until you cancel. Prices and plans are listed on our pricing section and in the Terms of Service.
2. How to cancel
- Sign in at accounts.docvoc.com as the practice owner.
- Open Plan & billing.
- Choose Cancel subscription and confirm.
You can also email psasatte@docvoc.com from the account’s email address and we will cancel for you. Members of a practice should ask their practice owner, who manages the shared subscription.
If you pay by UPI AutoPay or e-mandate and cancel the mandate in your bank or UPI app, future charges stop. Please also cancel in DocVoc so your plan shows the right status.
3. When cancellation takes effect
- Cancellation takes effect at the end of your current paid period. Until then you keep the plan you paid for.
- Automatic renewal stops, and you are not charged again.
- There is no proration. We do not refund the rest of a month or year, unused cloud hours, or unused seats. The same applies if you move to a smaller plan.
- Cancelling does not delete anything. You can keep signing in to read and export your records. To delete your data or close your account, see the Privacy Policy.
4. Refunds
DocVoc is sold as a subscription for a whole month or a whole year, paid in advance.
- Partial periods: we do not give refunds for partial periods, including when you cancel or move to a smaller plan part-way through a period.
- Duplicate or erroneous charges: if you are charged twice for the same period, or charged an amount you did not agree to, tell us. Once we confirm the error, we refund it to the original payment method within 7 working days. Your bank or card issuer may take a few more days to show it.
To report a charge, email psasatte@docvoc.com with the date, the amount and the Razorpay payment ID from your receipt or bank statement.
5. Failed payments
If a renewal payment fails, for example because a card has expired or a mandate was not approved:
- Razorpay may try the payment again automatically, and Plan & billing shows that your payment needs attention.
- You keep access until the end of the period you already paid for.
- After that, until a payment succeeds, DocVoc cloud stops transcribing visits and drafting notes, and the Mac app stops offline processing and model downloads.
- You can still sign in, open, read and export your records. Nothing is deleted because a payment failed.
To restore access, the practice owner opens Plan & billing and resolves the payment in Razorpay, or starts the subscription again. Processing resumes as soon as the payment is confirmed. If the subscription cannot be resumed, contact us.
6. Refunded or disputed payments
If the payment for your current period is refunded in full, or reversed through a chargeback or dispute with your bank, paid access for that period ends. Your records are not deleted.
7. How DocVoc is delivered
DocVoc is an online service. Nothing is shipped. After DocVoc staff approve your practice and your first payment succeeds, you use DocVoc straight away in your browser at accounts.docvoc.com, on your phone’s browser, or in the Mac app, which you download from your account. There is no self-service free trial.
